It is very important to read the information below and the form in full to ensure your registration process goes smoothly and you realize what your responsibilities are. Most issues that arise - around things like confirmation emails, deadlines, unpaid fees, registration cancellations, etc. - are because parents hadn't taken the time to read the information below.
Kings West is continuing to use the RAMP interactive registration system. All players and staff must register online. If not already done, parents and/or players are asked to take the time to set up a household account. Please add all members that may be involved even if they aren’t registering for a program at this time. This will allow quicker and more efficient registrations in the future. Please be accurate and thorough with your info as this will establish the communication links with the club.
When registering you will see the “packages” that are open and fit the age level of the registrant(s). In situations where the age doesn’t match the desired program, please contact the club administrator (smcn1414@gmail.com) Do not change the participant’s birth date.
KWSC Program Information
Following are general descriptions of the programs that Kings West offers. More detailed versions will be available on the club’s RAMP website once it is set up and filled out during the summer.
Youth Levels --- Community (A and B)
U13B - Kings West has a U13B program. The teams play in the Valley District Soccer league which includes teams from Clare to Windsor. The usual format will be a practice and a game per week. The majority of games will take place on weekdays with a few of the longer distance ones on weekends. Training usually starts the last week of May with games beginning the first week of June. The season wraps up in late August. At this level, district playoffs are held with the winner(s) advancing to provincial championships.
U15A/18A - Kings West offers programs at the U-15A and U-18A levels. These teams play in the Valley District Soccer league which includes teams from Clare to Windsor. Some South Shore teams such as Yarmouth and from the Bridgewater area may also be involved in the schedules. The usual format will be a practice and a game per week. The majority of games will take place on weekdays with a few of the longer distance ones on weekends. Training usually starts the last week of May with games beginning the first week of June. The season wraps up in late August. At all these levels, standings are kept and district playoffs are held with the winner(s) advancing to the provincial championships.
Mini Levels
U-9 and U-11
Male and female teams will be formed at these levels. They will play against teams from other clubs from Kingston Greenwood to Windsor. General format will be a practice and a game per week. For U11, practices usually start the first week of June and the game schedule begins the second week. For U9, practices usually start the second week of June and the game schedule begins the third week. The season ends in mid to late August.
U-7 and U-5
These programs are in club only. U-7 goes twice a week and U-5 once. Programs begin mid to late June (dependent on group and overall leaders being found) and end with the Extravaganza in mid-August. All sessions take place on Kentville Field 4 - next to the indoor facility. Generally U-7 takes place on Mondays and Wednesdays while U-5 registrants have a choice of Tuesday or Thursday.
Senior Levels
Kings West has senior teams at the Senior A (men and women), Masters (Over-35) and Ladies Over-30 levels. All play in Valley leagues (VDSA). Typical seasons see play begin in late May or early June and finish in August (Senior A), September (Ladies O-30) or October (Masters). For the registration process, unlike youth, teams will already be in the system and players will register directly to their team after receiving an emailed invitation from the team rep.
Volunteers
As always, volunteers are needed to make the season a success. We will be looking for people to fill the following roles:
Coaches/Assistant Coaches - Coaches and often assistant coaches are needed for all teams from U-9 to U-18. Coaching courses will be available for those who need them. During Covid they were restructured so that they now consist of an online component with a follow up onfield session to be completed afterwards. More information will be given out to those who take on these roles. The club covers all costs involved.
Managers - While in some cases coaches both are able and want to look after everything, it is the club’s desire that each team (U-9 to U-18) have a dedicated manager. Managers will look after such things as uniforms and game sheets, being the liaison with the league, etc, along with all the other things that coaches find for them to do. 😄
Group Leaders - At the U-5 and U-7 levels, there are no coaches or managers however group leaders will be needed. These people will look after groups of 8-10 players and lead them through the drills and sessions as directed by an overall leader.
There will be places throughout the registration process where you can indicate your willingness to take on one of these roles. If interested, please also sign up on the google doc found at KINGS WEST STAFF.
Registration Conditions
The Kings West Soccer Club strives to ensure that there is a proper balance between players and coaches. Payment of fees does not guarantee that your son/daughter will be placed on a team. Teams cannot be formed and mini programs can't begin without coaches and leaders being in place. We encourage parents to become active participants in your soccer club/teams as accepted numbers will otherwise be limited to available coaches.
Kings West Soccer Club will do its best to accommodate every interested player. Registration officially closes on May 15th for the levels where teams are formed (U-9 to U18). Registrations will continue to be accepted after this date but only to fill open spots on existing teams. If teams have reached capacity, no more players will be added. Players are not considered registered unless payment is received.
A confirmation email will follow each successful registration - if you do not receive an email, your registration was not completed.
For every player registered on June 30, Kings West is billed fees by both Valley District and Soccer Nova Scotia. For example in the summer of 2025, registration fee for U-5 was $60 - $35 went to the parent bodies and Kings West kept $25. During that season, there were a significant number of players, especially at the mini level, who registered then changed their mind about playing. The club was not notified and then was billed the $35 even though no registration fee had been collected.
If you register then change your mind, please let the club administrator know so the registration can be removed. If a player leaves or doesn't even start, but does not notify the club, they will be responsible for all fixed costs the club gets billed for. These will have to be paid before the player will be allowed to register for another season.
Financial Information
Payment options will continue to include online credit card (V/MC), EFT and cheques. Details for each, such as e-transfer address and where to mail cheques along with actual program fees will be found within the packages.
Family Rate - Oldest two youth/mini players pay full rate, all others pay half the applicable fee. This does not include senior registration of parents :-)). This will not be calculated automatically so if it applies, please email the club administrator (smcn1414@gmail.com) and manual adjustments will be made within the system.
Payment of Fees - Chasing unpaid registration fees is one of the most frustrating and time-consuming tasks within the club. Unless on a defined installment plan, expectations are that at least half of the registration fee will be paid at the start of the season with the remainder paid by mid-season. This doesn’t always happen. Club policy is that all outstanding fees from previous seasons and programs must be settled before players will be allowed to participate in a new season. Players who owe fees will be blocked from registering until the fee is paid thus they will not be placed on a roster nor be eligible to play until this has happened. Please pay fees in a prompt and efficient manner.
